Waybill Data Extraction for Logistics and Freight Ops

In domestic logistics operations, the lorry receipt — also called the consignment note or waybill — is the primary document that moves with a shipment. It contains the data that needs to get into the TMS: consignment number, origin, destination, consignee details, weight, number of packages, freight charges, and delivery instructions. When this data is entered manually from the physical waybill, it introduces delays and errors that affect shipment visibility and invoicing accuracy.

What a Waybill Contains

A domestic lorry receipt or waybill typically contains:

  • Consignment number (LR number) — the unique shipment identifier
  • Consignor details — name, address, contact of the sender
  • Consignee details — name, address, contact of the recipient
  • Origin and destination — city or hub, not just the full address
  • Number of packages — count and type (cartons, pallets, bags)
  • Weight — actual weight and sometimes volumetric weight
  • Content description — declared goods description
  • Freight amount — freight charges, fuel surcharge, and other add-ons
  • Mode of payment — prepaid or to-pay
  • E-way bill number — for GST compliance on inter-state shipments

The Format Variation Problem

Unlike international shipping documents where standard formats exist, domestic Indian waybills have no standardized format. Every transport company prints their own lorry receipt format. Blue Dart, DTDC, Delhivery, Safexpress, and thousands of regional transporters all use different layouts, field arrangements, and terminology for the same information.

For a 3PL or large shipper working with 20 to 50 different transport partners, this means 20 to 50 different document formats coming in daily. Template-based OCR systems require a configured template per carrier format. Maintaining those templates — and updating them every time a carrier changes their waybill design — is a significant operational overhead.

The right test for a waybill extraction system is not accuracy on a clean printed waybill. It is accuracy on a waybill that has been folded, stamped, partially handwritten, and photographed on a mobile phone by a warehouse staff member.

What Waybill Extraction Automates

Carrier-agnostic extraction

Semantic extraction handles any carrier format without per-carrier template setup. A waybill from a regional Punjab transporter is processed with the same accuracy as one from a national carrier. New carrier formats are handled automatically without configuration work.

Handwritten field extraction

Many domestic waybills are partially or entirely handwritten. Delivery addresses, consignee names, and LR numbers are often filled in by hand. An extraction system that only handles printed documents fails on a large proportion of real waybills from smaller transport partners.

E-way bill number extraction

E-way bill numbers on waybills are extracted and cross-referenced with the shipment record automatically. This supports GST compliance without requiring a separate manual check.

Integration with TMS and ERP

Waybill extraction connects to the TMS or ERP via API. The typical integration:

  • Waybill scanned or photographed at the warehouse or collection point
  • Image submitted to extraction API
  • Consignment number, origin, destination, weight, and freight data returned as structured JSON
  • TMS record created or updated automatically
  • Shipment tracking initiated without manual entry

For operations running mobile-based warehouse apps, the extraction API can be called directly from the mobile device when the waybill is photographed, updating the TMS in real time at the point of pickup or delivery.

Key Differences from Bill of Lading Processing

Domestic waybill extraction differs from international BOL processing in a few important ways. Waybills are higher volume and lower value per document — hundreds of waybills per day versus dozens of BOLs. They are also more likely to be handwritten or partially handwritten, and the document quality is typically lower since they are working documents handled physically throughout the shipment lifecycle. An extraction system built for international trade documents may not handle the quality variation common in domestic logistics waybills.
